Are your clinic ops healthy? 5 questions to check

With just over 3,100 practising vets nationwide, it’s no surprise that New Zealand’s veterinary workforce feels a little stretched.

 

And when extra hands aren’t exactly easy to come by, how your clinic uses the time and people it already has becomes even more important. 


So, how healthy are your clinic operations? Here are five questions worth asking.


1. Is your growth actually growth?

Revenue ticking upward is a nice feeling. Even better when it’s coming from more clients walking through the door, rather than higher prices covering the same volume.

 

With the cost of living biting, pet owners are spending more thoughtfully these days. So a clinic can look financially healthy on paper while seeing fewer new faces month to month.

 

Worth a look at your numbers: is your client base growing or is the same loyal group simply spending more each visit?

 

2. Is everyone doing a bit of everything?

Short-staffed teams tend to get creative. Everyone pitches in, jobs get shared around and somehow the day keeps moving.

 

But there’s a point where flexibility turns into role creep. The question is whether highly skilled people are losing chunks of their day to work that could be delegated, streamlined or automated.

 

Take a look at where your team’s time actually goes. How much of it is spent doing the work only they can do?

 

3. How long until a new hire pays off?

More often than not, training takes longer than planned.

 

That’s not an argument against hiring – just a nudge to measure your real time-to-productivity instead of assuming a new team member is at full speed from day one.

 

Better onboarding, clearer documentation and tools that take repetitive admin off a new hire’s plate can shorten that runway and hand you back capacity sooner.

 

4. Is your tech solving the right problems?

Chances are your clinic has picked up a few digital tools over the past few years. But tech that isn’t tied to a specific problem can quickly become one more thing for the team to manage.

 

The clinics that get real value from technology start with the problem, not the product.

 

For every tool in your clinic, can you name the problem it solves and the time it gives back? If not, it might be worth another look.

 

5. Is your full diary losing you time?

Cancellations tend to get the blame when a schedule falls apart. But there’s a bigger, sneakier culprit: appointment creep.

 

One consult runs a few minutes over. Then another. Those minutes stack up throughout the day until the diary has less usable capacity than it appears to have. The result? Fewer appointments fit comfortably into the same working day, while the team still feels as busy as ever.

 

That’s what makes this one easy to miss: the diary can look completely full while still not running as efficiently as it could.
